Please read our deposit and cancellation policy carefully to avoid any misunderstanding after you book our services. The policy is guideline rather than a fixed agreement. We’re always flexible in payment and cancellation so that you feel free and safe to go with Vigoti Ltd.
- Deposit is 30% of the total amount – for bookings made 45 days prior to your tour starting date.
- Deposit is 50% of the total amount – for bookings made 30 days prior to your tour starting date.
- No deposit but full payment must be completed instantly – for bookings made 10 days prior to your tour starting date.
We accept deposit payment by bank transfer, online payment via Paypal or through Western Union Global Transfer. Read more about How To Pay.
In some cases, we only require 10% of the total amount as the first deposit (a Very Low Deposit). This amount is enough for us to pay for guide salary, transfer fee and hotel on some first days of your tour.
The rest of payment
Your punctual full payment is strictly required to secure your reservation.
- For all reservation more than 30 days prior to your arrival date: Full payment must be completed at least 10 days prior to your arrival date.
- In some urgent cases, we allow clients to pay the rest of payment IN CASH on the tour starting date, but this must be approved in advance by 1 of our travel consultants via email.
Once you send the full payment, you should inform us by e-mail about the payment details, which will help us to check the payment due and secure your reservation for your benefit and interest. If we do not receive the full payment as we expected or we have reasons to believe that your payment is delayed and fraudulent, we reserve the right to cancel your reservation, and the cancellation letter will be sent to you by e-mail properly.
We are not responsible for any loss or inconvenience to you if you fail to access and view the cancellation letter.
Should you instruct your credit/debit card company to “charge back” any payment(s) properly due from you in respect of your booking, we will charge you an administrative fee of US$ 15 per incident and associated costs. We further reserve the right to cancel your booking and/or take legal action against you for all outstanding payment(s).
We try best NOT to make any changes to your tour itinerary. However, we reserve the right to modify the itinerary of your tour if flight schedule or land transportation changes, and/or events out of our control make such alterations necessary.
If you have already booked with confirmation letter from us, we will let you know as soon as possible. We may offer you hotel/flight/sightseeing program alternatives in the same or higher standard if the original service is not available.
Vietnamese Lunar New Year surcharge
Notes: Vietnamese Lunar New Year 2016 “the Year of Monkey” is 6 – 14 Feb 2016.
All tours organized during Vietnamese Lunar New Year (also called “Tet” holidays) will be applied a surcharge of at least US$ 10 /person/day due to higher cost for transportation, tour guide and meals. Which period of Vietnamese Lunar is determined upon each year and will be informed by our travel consultant before you make tour bookings. Vietnamese Lunar New Year surcharge is not applied for free day at leisure.
Songkran Day (Water festival) surcharge
Notes: Water festival New Year 2016 in Thailand, Cambodia, Myanmar and Laos is 13 – 15 April 2016.
All tours organized during Songkran holidays will be applied a surcharge of US$ 10 /person/day due to higher cost for transportation, tour guide and meals. This will be informed by our travel consultant before you make tour bookings. Songkran Day surcharge is not applied for free day at leisure.
We are flexible to amend your booking after you request us to amend. Just contact us at email@example.com with your booking code shown on each tour file. Our operation team is pleased to amend your booking accordingly.
Cancellation & Refunds
All cancellations of confirmed reservations are subject to a US$ 15 per person administrative fee apart from other cancellation fees due to hotel/cruise/airlines payment policy.
As Vigoti Ltd. has to pay cancellation fee to hotel/cruise/airlines, we will charge clients the cancellation fee accordingly as belows:
- 30 days before arrival: No cancellation charge. We Guarantee 100% Money Back.
- 11-29 days before arrival: 30%
- 10 days before arrival: 100 %
- No show: 100%
A request of cancellation in writing must be sent to us via email firstname.lastname@example.org. Once we receive it, you should expect to receive a cancellation letter within 24 hours. If you do not, then please contact us to ensure your letter has been received.
We will try to negotiate with hotel/cruise and refund you as much as possible in case of tour cancellation. We also try to refund you in the quickest way (recommended via PayPal).
In case we cancel your confirmed reservations, we reserve the right to cancel your reservation if we have reasons to believe that your payment condition and/or health conditions may affect us to carry out the tour arrangements. We will remind you immediately and continuously about the payment status for the reserved services by e-mails or fax. We are not responsible for any inconvenience or loss caused by the cancellation.
Please kindly understand that your co-operation for punctual payment will not only protect your reservation and ticket, but help us to serve you and others efficiently and smoothly.
Errors & omissions
We reserve the right to correct any errors in rates quoted or calculated for any service, with immediate effect. We will use our reasonable endeavors to notify you of such corrections.
Any controversy or claim arising out of or relating in any way to these Terms of Services, to the Responsibility Clause, to the brochure, or any information relating in any way to the trip, or to the trip itself, shall be settled solely and exclusively by arbitration in Vietnam.
